BOOKING POLICY FOR PAID EVENTS

These Booking Terms apply to paid events, workshops, masterclasses, talks, and other bookable sessions offered by Matterialista through this website.

By booking a place at one of our paid events, you agree to these Booking Terms.

1. Organiser

2. Booking and Conclusion of Contract

Bookings are made through our website.

By clicking the final payment or booking button, you submit a binding offer to book the selected event place or places. The contract is concluded when we confirm the booking by email or otherwise make the ticket available to you.

You are responsible for ensuring that all booking details are correct before completing the purchase.

3. Prices and Payment

The applicable ticket price is shown on the event page during the booking process.

Prices are shown in euros and exclude statutory VAT (MwSt)

Payment is due immediately at the time of booking. Your place is only confirmed once payment has been successfully completed or otherwise confirmed by Matterialista.

4. Tickets and Confirmation

After a successful booking, you will receive a confirmation email containing your booking details, ticket, QR code, or other admission information.

Please check your confirmation carefully and contact us promptly if any details are incorrect.

You may be asked to present your ticket, confirmation email, or QR code when attending the event.

5. No Statutory Right of Withdrawal for Date-Specific Events

Consumers usually have a statutory right of withdrawal for distance contracts. However, under German law, this right does not apply to contracts for services related to leisure activities where the contract provides for a specific date or period of performance.

Because our paid events are booked for a specific date or period, there is generally no statutory 14-day right of withdrawal after booking. This follows the exception in § 312g Abs. 2 Nr. 9 BGB for date-specific leisure activities.

Your separate cancellation rights, if any, are set out below.

6. Cancellation by You

If you are unable to attend, please contact us as soon as possible at hello@matterialista.com

Your right to a refund after a cancellation is defined on each event page. The refund that you receive may vary depending on when you cancel, in relation to the event date and start time.

If you do not attend the event, no refund will be issued.

At our discretion, we may offer a transfer to another available session or issue a credit, but we are not obliged to do so unless required by law.

7. Ticket Transfers

You may request to transfer your ticket to another person.

To request a transfer, please email us before the event with the new attendee’s full name and email address.

A ticket transfer is only valid once confirmed by Matterialista.

8. Cancellation or Changes by Matterialista

Matterialista may cancel, postpone, reschedule, relocate, or make reasonable changes to an event where necessary.

This may include changes due to illness, venue issues, safety concerns, insufficient participant numbers, operational requirements, or circumstances beyond our reasonable control.

If we cancel the event, you will be offered either:

a refund of the ticket price paid; or
a transfer to another available event, where suitable.

If we reschedule an event and you cannot attend the new date, you may request a refund of the ticket price paid.

Matterialista is not responsible for additional costs you may incur in connection with the event, such as travel, accommodation, childcare, loss of earnings, or other personal expenses, except where liability cannot be excluded under applicable law.

9. Event Content and Reasonable Changes

Event descriptions are provided to help you understand the general content, format, and purpose of the event.

We may make reasonable changes to the content, structure, materials, speakers, timing, or format of an event where necessary, provided the overall nature of the event is not materially changed.

10. Attendance and Conduct

Attendees are expected to behave respectfully towards other participants, speakers, staff, venue representatives, and guests.

Matterialista may refuse admission or remove an attendee from an event if their behaviour is disruptive, unsafe, abusive, discriminatory, unlawful, or otherwise inappropriate.

In such cases, no refund will be issued, unless required by law.

11. Accessibility, Allergies, and Special Requirements

If you have accessibility requirements, allergies, or other needs relevant to your attendance, please contact us before booking or as soon as possible after booking.

We will make reasonable efforts to accommodate requests where possible, but we cannot guarantee that every requirement can be met.

12. Photography, Video, and Audio Recording

Photography, video, or audio recording may take place at Matterialista events for documentation, editorial, educational, or promotional purposes.

We will aim to avoid focusing on individual attendees without appropriate consent. If you do not wish to be photographed or recorded, please inform us before the event or speak to a member of the Matterialista team on arrival.

Attendees may not make commercial recordings of an event without prior written permission from Matterialista.

13. Intellectual Property

All event materials, presentations, slides, handouts, guides, images, concepts, and other content provided by Matterialista remain the intellectual property of Matterialista or the relevant rights holder.

You may use event materials for your own private or internal professional reference.

You may not copy, reproduce, publish, distribute, resell, upload, teach from, or commercially exploit event materials without prior written permission.

14. Liability

Matterialista is liable without limitation for intent and gross negligence.

Matterialista is also liable without limitation for injury to life, body, or health caused by negligence or intent.

For simple negligence, Matterialista is only liable for breach of essential contractual obligations. In such cases, liability is limited to the typical foreseeable damage.

Nothing in these Booking Terms limits statutory rights or liability where such limitation would be unlawful under German law.

You are responsible for your own belongings during the event. Matterialista is not liable for loss of or damage to personal property unless caused by Matterialista’s fault.

15. Force Majeure

Matterialista is not liable for failure or delay in performing its obligations where caused by circumstances beyond its reasonable control.

This may include extreme weather, fire, flood, transport disruption, illness, accident, strikes, venue closure, technical failure, public authority measures, public health measures, or other unforeseeable events.

If an event cannot take place due to such circumstances, we will inform attendees as soon as reasonably possible and offer a suitable solution, such as rescheduling, transfer, or refund where required.

16. Personal Data

We process personal data provided during the booking process for the purpose of managing bookings, issuing tickets, processing payments, communicating about the event, creating invoices, and complying with legal obligations.

17. Governing Law

These Booking Terms are governed by the laws of the Federal Republic of Germany.

If you are a consumer resident in another EU Member State, mandatory consumer protection rights of your country of residence remain unaffected where applicable.

18. Online Dispute Resolution and Consumer Dispute Resolution

The European Commission provides an online dispute resolution platform for consumer disputes.

Matterialista is not obliged and not willing to participate in dispute resolution proceedings before a consumer arbitration board, unless legally required.
